The following outlines how the Human Resources Department manages some HR processes.
New Hire Paperwork Processing
If a hiring proposal was created within PeopleAdmin for the new hire, Human Resources will electronically send the new hire required HR paperwork, background check and I9. If a hiring proposal was not created through PeopleAdmin, hiring departments are required to send an email to Ophelia Marks [email protected] and Lauren Franzen [email protected] providing the name and email address of the new hire, if they are faculty or staff, and their state of residency. The new hire will be sent an email with instructions on how to fill out and complete paperwork.
Please do not send new hire paperwork to the new employee directly or have the new employee contact HR to initiate the hiring process. Departments must initiate the paperwork request process.
PAR Processing
Electronic PAR Forms: Separation, Part Time Faculty, and Supplemental pay PAR forms will continue to be processed on a regular basis.
Paper PAR Forms: Paper PAR forms must be filled out electronically as a PDF and routed through email for approval. Electronic signatures will be accepted on an interim basis.
Completed PAR forms should be sent to: hoffmana24@nku, or [email protected]. Please include in the subject line the Name of the Employee and Type of PAR form. Example : Status Change PAR for Chuck Norse.
Form I-9 requirements
Page one of the I-9 form will be sent to the new hire via I9 Compliance Service to complete electronically. Federal requirements state that employees must provide documentation to their employers showing proof of their identity and authorization to work. Typically, new employees bring in an unexpired US passport (which covers identity and work authorization) or a driver’s license and either birth certificate or social security card.
If the employee is physically located outside of the Greater Cincinnati Tristate Area and is unable to come to the NKU campus they will be given instructions for remote I9 verification.

Off Cycle Check Requests
This form is to be used ONLY in situations where an employee of the University was not paid either a portion of, or the entirety of the pay which
he/she had rightfully earned. The minimum amount of an off-cycle will be $200.00. This form will be initiated by the requesting department. Off cycle requests are processed once a week on Wednesday mornings at 11 a.m. and must be received by the payroll office with all signatures by 10:30 am on Wednesday to be processed in that Wednesday's off cycle run.
